REGISTRATION

POSTER & PAPER PRESENTER DEADLINES

  • 24 AUG: Poster Award Deadline – To be considered for more than two dozen ACRM Program Committee and Community Group-sponsored poster awards, your final poster file (PDF or PPT slide of poster) must be uploaded to the Poster Portal by this deadline.
  • 23 SEP: Abstract Publication Deadline – The abstracts of all oral presentations (papers) and scientific posters accepted on or before 17 July for presentation at the ACRM 2020 VIRTUAL Annual Conference are eligible for publication in the November 2020 issue of the Archives of Physical Medicine & Rehabilitation. To qualify, one presenting author of the abstract must be registered for the conference by this deadline. This is a final deadline and will not be extended further.
  • 30 SEP: Final Poster Upload (PPT or PDF) – Upload a file of your finalized poster. This file should only contain an image of your poster. No written presentation is required.
  • 7 OCT: Deadline to Pre-Record Your Presentation – From your Poster Portal, record an audio narration of your poster.

FINAL PRESENTATION DEADLINES

  • 7 SEP: Final Presentation upload deadline (PPT or PDF) – This deadline is for instructional courses, symposia, plenary, special symposia, featured sessions, award lectures, and oral paper presentations. Each presenter is required to upload the presentation slides for their part of the presentation to be reviewed for compliance with ACCME continuing education requirements. The CE Compliance Slides, should be used as a presentation template to disclose any conflicts of interest.
  • 21 SEP (extended): Recording Deadline – All presenters are required to pre-record their presentation from their Presenter Portal, or to upload an MP4 video file of their presentation by this deadline.

Continuing Education Requirements

As the premier conference for interdisciplinary rehabilitation research, the ACRM Annual Conference offers the opportunity to earn Continuing Education (CE) contact hours in your choice of 13 disciplines. Accordingly, your presentation must be reviewed for compliance with CE requirements. The presentation file will be reviewed to verify that:

1. All required CE Compliance Slides are included
2. The content is suitable for our interdisciplinary audience
3. The presentation is free of commercial content
4. The presentation generally matches up with the learning objectives for the session.

OPTION #1: AUDIO RECORDING (PREFERRED)

Audio recording within the ACRM Presenter Portal or Poster Portal is an EASY way to pre-record your presentation on your own schedule. These portals are available 24/7 for your convenience. Simply click through your presenter tasks and follow the instructions provided. Each presenter will pre-record a narration of their own slides.

To get started, we recommend first watching the step-by-step tutorial (above) to become familiar with the recording process. You may also wish to download the PDF of instructions for convenient reference. Here is an overview of the proces:

  • Download and update CE Compliance Slides for use as a presentation template (Not required for Posters)
  • After incorporating your disclosure slides and the slides for your part of the presentation, upload the slides for Continuing Education review and approval. This allows ACRM to offer attendees CME/CEUs for attending the conference. (Not required for Posters)
  • Once your presentation is approved, you may return to the Presenter or Poster Portal to record an audio narration of your slides or poster.

NOTE: If your presentation includes any of the following, you may prefer to video-record your presentation using option 2 or 3.

  • A panel of discussants
  • Videos within your presentation
  • Interaction between presenters

 

OPTION #2: VIDEO RECORDING USING YOUR SCREEN-SHARE PROGRAM

If your presentation has panel participation or requires all presenters to interact with each other for the presentation, you may coordinate with your co-presenters to video record your presentation via Zoom or a similar program as outlined below:

  • Download the CE Compliance Slides for use as a presentation template and add the slides and disclosures for your part of the presentation. If preferred, the lead presenter may compile all presenters’ slides into one file.
  • Upload your presentation file for Continuing Education review and approval. This allows ACRM to offer attendees CME/CEUs for attending the conference.
  • Once approved, you may record your presentation using your own screen-share program (such as GoToWebinar or Zoom)
  • Upload your MP4 file to your ACRM Presenter Portal.

 

OPTION #3: VIDEO RECORDING WITH ACRM STAFF ASSISTANCE

If your presentation has panel participation or requires all presenters to interact with each other for the presentation, you may coordinate with your co-presenters to record a video of your presentation using ACRM’s screen-share program (GoToWebinar or GoToMeeting), as outlined below.

  • Download the CE Compliance Slides for use as a presentation template and add the slides and disclosures for your part of the presentation. If preferred, the lead presenter may compile all presenters’ slides into one file.
  • Upload your presentation file for Continuing Education review and approval. This allows ACRM to offer attendees CME/CEUs for attending the conference.
  • Once approved, you may record your presentation using your own screen-share program (such as GoToWebinar or Zoom)
  • We recommend that you meet with your co-presenters for a run-through prior to scheduling a time with ACRM staff to pre-record your presentation.

Deadlines for Pre-Recording Your Presentation

All presentations EXCEPT POSTERS will be reviewed for Continuing Education compliance per ACCME guidelines. To ensure time for review, adjustments, and final posting before the ACRM Virtual Conference, we will need your content by the dates listed.

  • 7 SEP – Upload your PowerPoint slides in the Presenter Portal for CE compliance review and approval
  • 21 SEP  Pre-record your presentation

 


Deadlines for Pre-Recording Your Poster

BEFORE YOU PRE-RECORD

ACRM does not require or provide a specific template for posters. Your final poster file can be uploaded from your Poster Portal in PDF, Powerpoint, JPEG or Word. If you choose to use a template, please be aware that the e-poster system will not trim anything from the edges. Whatever is on the final file will show in the Online Program when uploaded.

POSTER SIZE

There are no technical limits to posters but the typical aspect ratios are 16X9, 9X16 or 4X3. We recommend an image resolution of 1080p or higher, but any size is acceptable.

PRE-RECORDING DEADLINES

  • 30 SEP Upload your poster file (PPTX, PDF, JPEG, Word) in the Poster Portal to provide attendees access to your e-poster.
  • 7 OCT Pre-Record an audio narration of your poster.

Live Q&A Chat

A new optional task has been added to the Presenter Portal where you can request  and monitor a live Q&A Chat during your presentation. This engagement tool gives attendees the opportunity to type questions into the Q&A Chat box during your scheduled presentation date and time and for you to type responses from your Presenter Portal.

If you choose to utilize this tool, you and/or your co-presenter(s) will be responsible for being available and engaged during, and 20 minutes following, the time of your scheduled presentation to answer attendee questions. We also ask that you return to your Presenter Portal at the conclusion of the conference on 24 October to respond to any additional questions that may have been submitted. The Attendee Q&A will be live in your presentation pop-out in the ACRM Online Program through June 2021. You are not expected to answer questions after the conference concludes.

 

Attendee Discussion Tool

The Attendee Discussion Tool is available upon request from your Presenter Portal tasks. This tool gives attendees the opportunity to type discussion points into the attendee discussion box, where other attendees can join in and converse. Presenters can also participate in the Attendee Discussion Tool, if desired. Another potential use of the tool is to encourage attendee interaction at key times during your presentation by placing prompts in your PowerPoint that direct them to the tool for discussion.

If requested, this tool will be open during the scheduled date and time of your presentation and will not be accessible post-conference.

Best Practice Recording Tips

1. Chrome is the preferred browser for this recording.

2. For panel teams, consider coordinating using the same external microphone plug-in equipment if possible. This will provide for more consistency and avoid gaps in audiovisual quality. Sometimes, panels will invest in one set of equipment, share the cost and ship the ‘studio in a box’ to each panel member to keep costs low yet maintain quality.

3. Stand if possible while recording to stay alert and energized.

4. Be focused on the delivery and not the technology. Practice and get familiar with the technology and your recording environment.

5. Offer reminders to your attendees that they can submit their online evaluations and receive their CEU/CME certifications in the system by visiting the online event library for this event.

6. Review all ACRM training or platform tutorials available to you in advance.


FOR BEST AUDIO

1. Avoid using your laptop microphone whenever necessary. Earbuds with a microphone are usually better and there are many affordable external microphones.

2. Don’t turn your head away from the screen when recording your audio – the audio sounds best when you talk speaking directly to the screen.

3. We suggest wearing earbuds or external headphones to avoid your computer audio creating a ‘bounce back’ effect on your audio recording.

4. Use humor, inflection and intonation in your presentation. Avoid simply reading from your script.

5. Get close to the microphone. The further away, the more the ‘chamber echo’ effect will kick in.

6. Playback the audio to ensure the equipment you are using is good quality.


RECORDING ROOM

1. Use a small, carpeted room with low ceilings. Avoid a room with a lot of hard surfaces or larger rooms.

2. If recording at your residence, try to use internal rooms to avoid public noise (sirens, birds, wind chimes, construction or other bleed thru audio disturbances). Basements are ideal if they are carpeted.

3. Try to restrict colleagues or family activity (televisions, doors slamming etc.) Let them know the importance of your audio environment for the time you are rehearsing and conducting your final recording.

4. Avoid clutter in and around you. Go for the minimalist affect. This will help your focus, feel secure in your delivery and will avoid audience distraction.


TIPS FOR BEST VIDEO RECORDING VIA GOTOMEETING

One person in the presentation group should control all slides to avoid recording any awkward transitions between presenters pulling up new slides into the presentation. Often, the first speaker advances the slides for all and quietly moves them along. It might occasionally be necessary for the speaker to say, “next slide please” and that’s fine.

At the beginning, everyone can turn on their cameras for introductions, then when the first speaker begins, the others can turn off their cameras to avoid causing distraction. Then the next person presenters their slides. It will all be recorded like a webinar with the slides front and center taking up most of the screen.

If you are using two screens, be sure to face your microphone directly when you speak. Otherwise, your voice may sound muffled instead of crisp.

There are no editing features or abilities to splice takes. So, we do aim for one run through and hopefully everyone is set up to avoid interruptions, mute themselves when not speaking, etc.

Distribution of Presentations

ACRM will make all presentation slides available to conference attendees through the conference app. YOU MUST NOTIFY ACRM IF YOU DO NOT WISH YOUR PRESENTATION TO BE INCLUDED FOR DISTRIBUTION no later than 14 September 2020 by emailing meetings@ACRM.org with the session ID, session title, presenter name, email address and instructions to exclude specific presentation slides or all slides for the session.

Registration

As a presenter, you are required to register for the conference through the Registration portal, even if no registration fee is due. Presenters of symposia, oral paper presentations, and posters are eligible for 20% off their total registration. Enter your presenter code at checkout to receive the lowest rate.

To be eligible to participate in the ACRM Poster Award Program, your poster file (PDF or PPT) must be uploaded to the Poster Portal no later than 24 August 2020. Otherwise, the final deadline for uploading your poster file is 14 September.

Abstract Publication

Abstracts of oral paper presentations and scientific posters presented at the conference will be published in the electronic pages of the Archives of Physical Medicine and Rehabilitation—the most cited journal in rehabilitation. Abstracts will be fully indexed, searchable, and citable.

To qualify for publication, one presenter from the abstract must be registered for the conference by 23 September.
